This privacy policy describes how ESN uses and protects information that you give the ESN when you use the website and/or apply for membership of the society.

If the ESN makes any occasional changes to the privacy policy, this page will be updated with the new information. You should check this page from time to time to ensure that you are happy with any changes. The current policy is effective from 1st January 2019.

How the ESN handles your personal information

The ESN respects the privacy of its members and is committed to ensuring that your privacy is protected. The ESN will hold and use data for administrative purposes and to keep you informed of activities, events and opportunities. If you are asked to provide certain information by which you can be identified when using this website, we guarantee that it will only be used according to this privacy policy.

The ESN will never pass your personal details on to any third parties, except where required by law.

For gerneral users of the website

When you access the ESN website, your browser automatically transmits data to our web server for technical reasons. These include, but are not limited to, the date and time of access, URL of the referring web site, retrieved file, amount of data sent, browser type and version, operating system, and your IP address. This information is stored separately from other data associated with membership. It is not possible for us to assign the data to a specific person. This information is used only for statistical purposes and then deleted.

The ESN website uses SSL/TLS encryption to ensure that the connection between the website and web server is secure and all data is encrypted.

The ESN does not collect or retain personal information about general users of the website. If you send us comments/enquiries via the contact form, your details from the contact form, including the contact details you provided there, will be stored in order to process the request and in case of follow-up questions. We do not share this information with third parties without your consent.

Cookies

In order to expand the functionality of our website and to make the use more convenient for you, we use cookies. A cookie is a text-only string of information that a website transfers to the cookie folder of the browser on your computer's hard disk so that the website can remember who you are. 

We use the consent management tool CCM19 on our website.

The tool enables you to give consent to data processing via the website, in particular the setting of cookies, and to make use of your right of withdrawal for consent that has already been given.

Data processing serves the purpose of obtaining and documenting the necessary consent to data processing and thus complying with legal obligations.

Our company does not process the data ourselves, the data is stored as a log file. Access to our customers' log files is only possible with prior agreement and the customer's consent. For members / membership applications

Why we collect information

The ESN collects your personal information for the administration of your membership, to enable us to send you email correspondence with information about meetings, society matters and to make you aware of any new services, job opportunities. Occasionally, we will make you aware of relevant general announcements, requests for help that we have received. If you do not want to receive e-mails from us in the future please let us know via the Contact Form on the website or by sending an e-mail to the Secretary, Eric Grenier (eric.grenier@inra.fr).

What information we collect

The types of personal information we collect include your title, first name, surname, contact details (telephone, fax, street address, email address) and a mailing address. We may also collect information relating to your employment, for example: the name of your institution, your job title, areas of interest / expertise.

What we do with the information we collect

We use this information for membership administration and accounting purposes and to contact you by e-mail about ESN activities, including sending you the ESN Newsletter (Nematology News) and details about the Society's meetings and events.

We do not disclose your information to any third parties.

Controlling your information

ESN members can amend much of their information by logging into their account using their email and password.

You may request details of all personal information which we hold about you covered by General Data Protection Regulation (GDPR). If you would like a copy of the information held on you, please contact us via the website Contact Form or e-mail the secretary Eric Grenier (eric.grenier@inra.fr).

If you believe that any information we are holding on you is incorrect, incomplete, or out-dated, please contact us as soon as possible, as above. We will promptly correct any information found to be incorrect.

Online payments

Any information provided by you in connection with any online transaction i.e. your credit or debit card numbers, expiry date and billing or delivery address is used to process the transaction. These details are not stored by the ESN.

When making subscription payments online with a credit/debit card or PayPal account, you will be transferred to the PayPal secure payment servers to enter your financial information. By doing so, the ESN does not have access to your financial details. PayPal is required to comply with the Payment Card Industry Data Security Standard (PCI DSS) guidelines and has been fully compliant for a number of years. PayPal helps protect your credit card information with industry-leading security and fraud prevention systems. When you make a payment via PayPal, your financial information is never shared with the ESN.
